Managing Guest Data and Audience Segmentation

The Guests section is your central directory for managing customer profiles and data privacy. It acts as the bridge between your Property Management System (PMS) and our platform, allowing you to see exactly what guest data is syncing and how you can use it to target your survey campaigns effectively.

1. Viewing Synced Guest Profiles & Attributes

When you navigate to the Guests section from the left-hand menu panel, you will see a live repository of all guest profiles pushed into our platform via your PMS integration.

Beyond names and contact details, this view displays every available Guest Attribute (such as room type, length of stay, country of origin, or VIP status). These attributes are the building blocks for your audience segmentation, enabling you to tailor your survey distribution to highly specific guest journeys.

2. Privacy Compliance: Managing Opt-Outs

Protecting guest communication preferences is essential for legal compliance (such as GDPR) and brand trust. The Guests page provides two critical tools to manage these preferences:

  • The Unsubscribe List: Tracks guests who have clicked the "unsubscribe" link in a previous survey email. The system automatically shifts them here to halt promotional feedback requests.
  • The Block List: Allows your team to manually input specific email addresses or domains that should never be contacted by the system under any circumstance.

3. Safeguarding Against Accidental Communication

Our system includes a built-in safety net to ensure that once a guest opts out, their preference is strictly respected:

Important Protection Rule: Once a guest is placed on the Unsubscribe or Block List, our platform permanently restricts future survey invitations to that email address. This suppression remains active even if the guest's profile is updated or pushed again during future PMS data syncs.

Note: To ensure this safety net remains intact, avoid manually deleting a guest profile entirely, as re-importing a completely deleted contact will bypass the historical opt-out record.
